    Facilities Coordinator (Irving, TX) - 2018-11880

     

    PrimeSource Building Products, Inc., one of the nation's largest wholesale distributors of building supply products is seeking reliable, hard working Facilities Coordinator for our corporate office located in Irving, Texas.

     

    This position includes coverage of the front desk at the corporate office and mailroom back-up support.

     

    This individual will be responsible for monitoring vendor performance and compliance with standards of PrimeSource, monitoring building systems at the corporate office, and maintaining/updating of facility budget.

     

     

     

     

     

    Responsibilities

     The successful incumbent must act as an interface with employees, visitors, and guests.  Work collaboratively to solve problems and resolve spontaneious and unique situations with professionalism and service orientation.

     

    • Facilities Coordinator: 
      • Vendor maintenance: maintains current W-9 forms and Certificates of Insurance for active vendors; maintain accurate and up-to-date point of contact information, e-mail and mailing address information on Vendor Contacts spreadsheet in Facilities folder on corporate server.

      • Maintains service agreements for all vendors, note contract expiration and/or renewal dates.

      • Conducts regular vendor performance reviews in light of PrimeSource's scope-of-work requirements.

      • Evaluates proposals for services/goods from current vendors; submit recommendations to and discuss with Senior Real Estate Manager.

      • Monitors adherence by vendor to agreed-upon performance schedule and quality.

      • Reviews and approve facility related invoices prior to submission to Senior Real Estate Manager.

      • Meets and evaluate prospective vendors for new services/agreements.

      • Monitors vendors entering building.

      • Walks regularly trough both building and grounds to ensure safety and cleanliness of facility and to ensure that mechanical and electrical components are functioning properly.

      • Attends vendor and facility maintenance project meetings with Senior Real Estate Manager.

     

    • Corporate Building Maintenance: Ensures optimal functioning of building systems including mechanical, electrical, fire/life safety, and elevators.
      • Fields calls/requests for maintenance from employees in the building.
      • Conducts weekly walk-through of corporate office: check for any visible issues that need attention.
      • Monitors Corporate Facilities Outlook inbox for all inquiries, complaints, concerns and feedbacks.
      • Checks break room's coffee products and replenish as needed (if available-1st floor break room storage).
      • Orders break room's products on a bi-weekly basis (Aramark Bi-weekly schedule/Tuesdays).
      • Replenishes all first-aid kits and assure all products are up-to-date and dispose any that are expired.
      • Assists Senior Real Estate manager with updating and coordinating emergency preparedness plan.
      • Coordinates with vendors for annual fire/sprinkler testing, in addition perform building fire drill
      • Assists Senior Real Estate Manager with any other building related issues.
      • Reviews and Codes facility related invoices using the vendor spreadsheet then pass the coded invoices on to the Corporate Real Estate Manager for approval.
      • Updates facilities invoice/budget spreadsheet as incoming invoices are provided.

     

    • Mailroom Back-up: provide back-up support when the mailroom clerk is unavailable.
      • Provides back-up support when mailroom clerk is unavailable.
      • Provides access to drivers (FedEx, UPS, USPS, etc.) upon arrival through delivery entrance.
      • Signs for incoming packages and log all incoming packages prior to distribution.
      • Prints SAP invoices and process into mail runner; run through for postage and prepare for pick-up.
      • Orders office supplies for employees as orders are received.

    Qualifications

    Education:

     

    2 to 4 year college degree; or equivalent combination of education and experience.

     

    Computer Skills:

     

    Excel and Word skills required. Access, Photoshop and SAP knowledge a plus.  

     

    Certifications & Licenses:

    Valid driver’s license and updated car insurance.  

     

    Other Requirements:

     

    Accurate computer skills, strong verbal communication skills - Understanding of the customer’s business and basic practices, as well as knowledge of products represented by the company (PrimeSource)
